Privacy Policy

This policy explains what Applied Teaming, LLC ("we," "us") collects when you use Applied Teaming, how we use it, who can see it, and what you can ask us to do with it.

The short version

What we collect: your account details, anything you write in the app, an optional résumé, your classes and teams, and your answers to interest and work style questions.
Who can read your reflections: only you. Not your instructor, not your teammates. Instructors see summaries of a whole class or team, never one student's writing with their name on it.
AI reads your text. Your writing and your résumé are sent to Anthropic's Claude API for automatic analysis in the background. It produces summaries and suggestions. It never grades you, ranks you, or decides anything about you.
Nothing is sold, and nothing is advertised. We run no analytics, no ad pixels, and no session replay tools. The only cookies we use are the ones that keep you signed in.
Peer feedback goes to the person it is about, not to faculty.
To get a copy of your data or have it deleted, email platform@appliedteaming.com. We will respond within 30 days. There is no self service delete button in the app yet.

1. Who this policy covers

This policy applies to everyone who uses Applied Teaming: students, instructors, and visitors to our website.

If you are participating through a research study at your institution, a separate consent form and study protocol may also apply to you. Where they conflict with this policy, they govern.

If your institution has a written agreement with us covering student data, that agreement may set additional or different terms for users at that institution. See Section 11.

2. What we collect

2.1 Account and identity

Email address. Required. We also use it to match you to an instructor's class roster.
Password. If you sign up with a password, it is hashed and held by our authentication provider. Our application never sees it.
Google account ID and basic profile. Only if you choose to sign in with Google.
Display name, a short headline or self description, and links to your portfolio or profiles. All optional, all written by you. Your display name is visible to your teammates.

2.2 Your résumé (optional)

If you upload a résumé, we store:

the file itself (PDF, DOCX, or TXT, up to 10 MB), in a private storage bucket that is not publicly reachable;
the original filename;
the full parsed contents, stored as structured data;
the parse status (parsed, confirmed, or error).

A résumé usually contains more personal information than anything else you give us, often including your legal name, phone number, home address, and full employment history. We treat it accordingly. It is stored privately, it is never shown to other users, and it is used only to fill in your own profile. The file is sent to our AI provider for parsing, as described in Section 4.

2.3 Education, experience, and skills

Institutions attended, degrees, fields of study, start and end years; job titles, employers, dates, and descriptions; skills, and where each skill came from. This comes either from your parsed résumé or from what you type in yourself.

2.4 Classes, teams, and participation

Classes you add or join, the term, whether a class is in progress or finished, your team membership, join codes you redeem, and instructor claims on a class.

If you are an instructor, this also includes rosters you upload, which are lists of student email addresses used to connect students to your class.

2.5 Your reflective writing

This is the heart of the product, and it is a distinct category rather than ordinary "user content." It includes charter responses, milestone reflections, checkpoint responses, synthesis reflections, stories, experience highlights, check ins, and any artifacts you upload or link to a checkpoint.

This is candid self assessment written in an educational setting. Section 5 sets out exactly who can and cannot read it.

2.6 Peer feedback

Written feedback you give a teammate, covering what they did well and what they could do differently, and feedback others write about you. Feedback is stored with both the author's and the subject's identity attached to it.

2.7 Interest and work style responses

Your answers to interest inventories (including RIASEC style interest profilers), learning style questionnaires, work style questions, and domain interest questions, along with the scores calculated from them.

2.8 Information we generate about you

The service produces derived information from what you write, including AI generated summaries, extracted "moments," clustered skill themes, suggested directions, team syntheses, and class level insights. Some of this is cached and reused rather than regenerated each time.

These are descriptions and suggestions, not assessments. They are not always right. See Section 4.

2.9 Technical information

Standard web and database logs kept by our hosting and database providers: IP address, browser and device type, pages requested, and timestamps. Session cookies set by our authentication provider to keep you signed in.

3. What we do not collect

These are commitments, not aspirations:

No payment information. The service does not process payments.
No sale or sharing of personal information. We do not sell your personal information, and we do not share it for cross context behavioral advertising, as those terms are defined under California law.
No advertising, and no advertising profiles. We show no ads and build no advertising profiles of students.
No analytics or tracking tools. The application ships no analytics package, no advertising pixel, and no session replay tool. The only cookies are the authentication cookies that keep you signed in.
No location tracking, beyond the IP address that appears in ordinary server logs.
No biometric data, government identifiers, or financial account information. We never ask for them.

4. Automated analysis with AI

Applied Teaming sends some of your content to Anthropic's Claude API for automatic text analysis. We describe this separately rather than folding it into our list of service providers, because it involves your own writing.

What is sent, and when:

your résumé file, in full, when you upload one for parsing;
your reflective writing, to extract themes, generate summaries, cluster skills, and produce team and class level syntheses;
skill and interest labels, to group them into themes.

How it works:

Processing happens automatically in the background. Applied Teaming does not include a chatbot or an AI assistant you talk to. The analysis runs on text you have already written.
The output may be inaccurate or incomplete. It is not an evaluation, a grade, or professional career, academic, or psychological advice.
AI output is never used to make a decision that has a legal or similarly significant effect on you. The service does not grade, rank, score, admit, hire, or discipline anyone, and instructors cannot use it to do so.

Anthropic processes this content as our service provider in order to return the analysis to us.

5. Who can see what

Access in Applied Teaming is layered deliberately. Here is the whole model.

Your own reflections, checkpoint responses, and private notes	Only you. This is enforced at the database level: rows are readable only by their owner.
Your name and your team charter choices	Your teammates. Teams know who is on them by design.
A team reflection you wrote and co signed together	Your teammates and the class instructor.
Peer feedback written about you	You. The author's identity is recorded with the feedback. It is never shown to instructors with your name attached.
Team and class level views shown to instructors	Counts, distributions, and themes only. These views are built so they cannot return an individual's name next to that person's raw reflection text.
The aggregate class map other students can browse	Name free. Only patterns shared by at least 3 different students are shown at all.

Two things worth stating plainly:

Cross user access is not incidental. The running application has no general purpose administrative access path. Every read that crosses from one person to another goes through a specific, purpose built function that re checks who is asking and returns only the shape of information that role is allowed to see.

Instructors see the shape of a class, not a transcript of any student.

6. How we use information

We use what we collect to:

create your account and sign you in;
build your profile and your personal map;
run classes, teams, checkpoints, and peer feedback;
generate the summaries, themes, and suggestions described in Section 4;
show instructors aggregated views of their classes and teams;
show students the name free aggregate picture of a class cohort;
answer your questions and provide support;
keep the service working, secure, and debuggable;
meet legal obligations and enforce our terms.

We do not use your content for any purpose beyond operating and improving Applied Teaming.

7. Who we share information with

We use the following providers to run the service. They process information on our behalf and are not permitted to use it for their own purposes.

Provider	What they do
Supabase	Database, authentication, and file storage. Holds essentially all user data.
Anthropic	AI text and document analysis (Section 4).
Vercel	Application hosting, and the server logs that come with it.
Google	Sign in only, and only if you choose Google sign in.

Beyond these providers, we share information only:

with your institution, where an agreement with that institution requires it, and in the form that agreement specifies (see Section 11);
for legal reasons, if required by law, subpoena, or legal process, or where we believe disclosure is necessary to protect the rights, safety, or property of our users or others;
in a business transfer, if we are involved in a merger, acquisition, or sale of assets. In that case we will notify you before your information becomes subject to a different policy.

8. Where your information is stored

Your information is stored and processed in the United States.

If you are using Applied Teaming from outside the United States, including as an international student travelling or studying abroad, your information will be transferred to and processed in the United States, where privacy laws may differ from those where you live. Where the law requires it, we rely on appropriate safeguards for those transfers.

9. How long we keep information, and how to have it deleted

What is true today:

We keep your information for as long as your account exists.
If you start a résumé upload and abandon it, or the parse fails, both the stored file and the parsed data are deleted automatically when you upload another one. A résumé you confirmed and saved is kept until you replace it.
If your account is deleted, the deletion cascades. Your profile, education, experience, skills, reflections, and résumé records are removed with it.
Some things you wrote that are shared by design, such as a team reflection you co signed or feedback you gave to someone else, may remain in that team's or that person's record after your account is removed, with the link to your authorship severed.

What is not true today, so that you are not misled:

There is no self service account deletion in the app. The settings page does not yet do this.
There is no self service data export.
We have not published a fixed retention schedule.

So here is how to actually reach us. To get a copy of your data, correct it, or have your account and its contents deleted, email platform@appliedteaming.com. We will verify your request using the email address on your account and respond within 30 days, and in any event within the time required by applicable law.

10. Your rights

Whoever and wherever you are, you can ask us to give you a copy of your information, correct it, or delete it, using the contact route in Section 9. You can also revoke Google's connection to Applied Teaming at myaccount.google.com/permissions, though that will affect your ability to sign in.

If you are in California. Under the CCPA and CPRA you have the right to know what personal information we collect and why, to request deletion, to request correction, and not to be treated differently for exercising those rights. The categories we collect are listed in Section 2 and the purposes in Section 6. We do not sell or share personal information. We also do not use student information for targeted advertising or to build advertising profiles, consistent with California's student privacy laws.

If you are in the EEA or the UK. Where the GDPR or UK GDPR applies, our lawful bases are: performing our agreement with you, which means running the service you signed up for; your consent, for optional things such as uploading a résumé; and our legitimate interests in keeping the service secure and working. You have rights of access, rectification, erasure, restriction, portability, and objection, and the right to complain to your local supervisory authority.

11. Schools, FERPA, and institutional agreements

If your institution has arranged for Applied Teaming to be used in its courses, we may be acting as a school official with a legitimate educational interest under FERPA, handling education records under the institution's direct control. Where that is the case:

your institution's agreement with us governs how that information may be used and disclosed;
your institution, rather than us, decides certain questions about access and consent;
and where that agreement conflicts with this policy, the agreement takes precedence for users at that institution.

12. Security

All data is transmitted over encrypted connections, and our providers encrypt data at rest.
Access to every database table is denied by default and granted only to the row's owner. Access that crosses between users exists only through specific, reviewed functions that verify class membership or instructor status first.
The running application does not hold an all access database credential.
Uploaded files are kept in a private bucket that is not publicly addressable.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you think your account has been compromised, email platform@appliedteaming.com.

13. Age

You must be at least 18 to use Applied Teaming. The service is not directed to children under 13, and we do not knowingly collect information from them. If we learn that we have, we will delete it. Write to platform@appliedteaming.com if you believe this has happened.

14. Changes to this policy

We may update this policy. If the changes are material, we will tell you by email or in the app before they take effect. The "Last updated" date above always reflects the current version.
